Description
This role will be office based in Gamlingay, Cambridgeshire, although there will be occasional requirements to visit their other manufacturing site in Biggleswade.
Reception Duties
- Manage visitors’ book and issue security passes, answer phone and direct/screen, as necessary.
- Organise any coffee and sandwiches as required for meetings/customer visits.
- Set out and tidy up refreshments for visitors
- Stationary orders, deal with all incoming and outgoing post, distributing, and using Franking machine
Sales Admin Duties
- Working with sales team, issuing quotation numbers to sales team, maintaining/updating customer details to database, electronically saving quotations, costing spreadsheets to sales drive and efacs.
- Pre Tradeshow assistance, banners, sales marketing material & preparation for Exhibitions, marketing follow up by adding trade show contacts to database
- Quotation Summary report (Qweeks) - prepare and issue to sales weekly.
- General administration, working alongside Admin team to help with spares quotes/manuals and cover for absence/holidays
Purchase Ledger Duties
- Matching, checking and coding invoices
- Landed Costs
- Working out VAT payments
- Preparing invoices for weekly payment run via BACS
- Processing staff expenses
- Setting up of new supplier accounts and maintaining existing account details
- Reconciliation of supplier statements
- Filing invoices
- Data entry
- Being first point of contact for all relevant enquiries
- Maintaining strong relationships with customers and suppliers
The Ideal Candidate:
- Excellent communication skills are required.
- Solid team working skills
- Capable of independent working yet be able to take instruction and work within a team.
- Experience of using Microsoft Office is essential, as are good telephone skills.
- Knowledge of software packages such as Excel and BACS
- Ability to work to deadlines
